Shelby County Clerk of Courts

The Shelby County Clerk of Courts sits on the 3rd floor of the Common Pleas Courthouse at 100 E. Court St., Sidney, OH 45365. Call 937-498-7221. The office files, dockets, indexes, and preserves all court pleadings for civil, criminal, and domestic relations cases. It also processes appeals from lower courts within the county.

Beyond court records, the Clerk handles auto titles, watercraft registrations, and passport services. Payments on existing cases can be made by credit card over the phone or in person. A 3% convenience fee applies to credit card payments, with a $2.00 minimum. Cashier's checks, money orders, and local checks are accepted by mail. Make checks payable to "Shelby Co. Clerk of Courts." Returned checks trigger a $35 fee and possible criminal charges under ORC 2913.11.

Bond payments must be in cash or surety. OR Bonds cost $63 cash. 10% Bonds require 10% of the bond amount plus $88 in cash.

The Shelby County online records search covers Court of Appeals, criminal, civil, domestic relations, and judgment lien cases. Records from October 1, 1987 forward are in the system. Older records are only available at the office during business hours. The office is working to add more historical records over time.

When searching, enter at least the first three letters of the last name and at least the first letter of the first name. You cannot search by date of birth alone, but you can combine a name search with a date of birth filter. Case number formats vary: use 25CR000999 for Common Pleas cases or 1720250099 for Court of Appeals. Try different spelling variations to get the best results.

Civil Stalking Protection Orders, Sexually Oriented Offense Protection Orders, and Domestic Violence Protection Orders are not available online. Those records are only accessible in the Clerk's office during regular hours. This restriction follows federal law under 18 U.S.C.S. Section 2265.

Shelby County Probate Court Records

The Shelby County Probate Court has its own online search system called the Remote Case Access System (RCAS). Searchable records go from 1997 to the present. Document images are only available from 2012 forward. The system covers estates, guardianships, marriage licenses, and other probate matters.

The Probate Court is at the Shelby County Courthouse, 100 East Court Street, P.O. Box 4187, Sidney, OH 45365. Call (937) 498-7263. The Juvenile Court shares the same address and can be reached at (937) 498-7255. Marriage records from the Probate Court cost $3 each. These are separate from the Clerk of Courts records.

The RCAS docket entries match the official court docket, but the system is a copy and may have minor inaccuracies. If accuracy is critical, check the original file at the courthouse.

Vital Records in Shelby County

Birth and death records from December 1908 forward are available at the Sidney-Shelby County Health Department at 202 West Poplar Street, Sidney, OH 45365. Marriage licenses come from the Probate Court. Divorce records are at the Clerk of Courts. Each office has its own fees and procedures.

The Health Department can issue certified birth and death certificates for events recorded in the county. You may also be able to get records for other Ohio counties through the state vital records system. Bring a photo ID when picking up certificates in person.

Sidney Municipal Court Records

The Sidney Municipal Court handles misdemeanors, traffic cases, and small claims in its jurisdiction. This court keeps its own records, separate from the Clerk of Courts Common Pleas files.

Court records are public under R.C. 149.43 unless sealed or otherwise exempt by law. Sealed records, trade secrets, adoption records, domestic violence protection order details, children's records, active investigation files, security records, health records, and attorney-client privileged materials are all exempt. Everything else is open for inspection and copying.

How to Get Shelby County Records

You can request public records from any Shelby County office in person, by phone, by mail, or by email. Under R.C. 149.43, you do not need to give your name or state why you want the records. Just be specific about what you need. The office must respond promptly.
